Coin Box Downloads

Prior to downloading these files, you should create and name a new folder on your hard drive (e.g., "Coin Boxes").  Write down the location of this new folder so you can easily navigate to it later.  All three files should be saved off to a floppy disk or CD after downloading; this will preserve your initial files in case you inadvertently alter one or more of them and want to return to the original files.

The following files to support the Rotary Club Coin Box Project are available as free downloads:

1.  Instructions (35 Kb Microsoft Word .doc format) on how to use the spreadsheet to enter new donation data and how to view customized information about the donations made by each individual.  For example, the spreadsheet can be sorted by name and by date to view the donation record of a specific individual.  This Instruction sheet will also teach you how to compute the sum of all coin box donations, or all Annual Programs Fund donations made by an individual between any two dates, such as between January 1 and December 31 for US Income Tax deduction purposes, or between July 1 and the next June 30 to compute the donations made during a Rotary year for Every Rotarian Every Year (EREY) Purposes.

2.  A demonstration 170 kb Microsoft Excel Spreadsheet that allows the Club Foundation Committee Chair to enter coin box donations made by the person's name and by date.  This is a "dummy" contribution record that can be used with the accompanying Instructions to show how to extract the information you want for each person from the record of all donations made by your Club members.

3.  A sample 50 Kb Statement of Contributions (Word .doc format) that can be given to each individual that provides the amount contributed in their last Coin Box donation, the total amount contributed this Rotary Year toward their EREY goal of $100, and the total amount contributed this calendar year for US Income Tax deduction purposes.  These amounts are easily computed using the Instructions described above.  You can use your word processor to modify the Statement to show your own Club's letterhead.
